Refund Policy for Students Who Do Not Receive a Boren or Benjamin A. Gilman Scholarship


Boren Scholarships: Study Abroad Office Refund Policy
All Boren applicants (when applying for a program through our office) will be charged the $50 non-refundable application fee and the non-refundable program fee per standard SAO billing schedule. We are aware that Boren applicants are told of their award in early May.  Within one week of the date that Boren announces the ASU scholarship recipients, applicants who are not awarded and choose not to participate in their confirmed program for this reason must contact their SAO International Coordinator and withdraw from their program.  They must also, at this time, provide documentation (from Boren) that they did not receive the Boren Scholarship for that specific term.  This can come via e-mail or regular mail, but it must be a letter issued by Boren.

SAO will not be able to refund the non-refundable $50 application fee.  However, if a student is not awarded the Boren Scholarship, students who withdraw in writing to their SAO International Coordinator within one week of Boren notifications will be eligible for a refund of any portion of the program fee that has not been committed to a provider on behalf of the student.  Program providers have various deadlines for charging ASU a program deposit which will determine the refund amount. For applicants applying for exchange programs, the $400 administrative fee would be refunded. This is not extended to Faculty-Directed program applicants. This option will not be extended to students who apply for and voluntarily withdraw their Boren Scholarship application before decisions are made.

Benjamin A. Gilman Scholarship: Study Abroad Office Refund Policy
All Gilman applicants (when applying for an exchange program through the SAO office) will be charged the $50 non-refundable application fee and the non-refundable confirmation deposit per the standard SAO billing schedule. Gilman applicants are notified of their award status in early May for Summer/Fall/Academic Year programs and mid-November for Spring/Calendar Year programs.  Within one week of the date that Gilman announces the ASU scholarship recipients, applicants who are not awarded and choose not to participate in their confirmed program for this reason must contact their SAO International Coordinator and withdraw from the program.  At this time, they must also provide documentation from Gilman that they did not receive the scholarship for that specific term. This can come via e-mail or regular mail, but it must be a letter issued by Gilman.

SAO will not be able to refund the $50 non-refundable application fee; however, if a student is not awarded the Gilman Scholarship, students who withdraw in writing to their SAO International Coordinator within one week of the Gilman notifications will be eligible for a refund of the $400 administrative fee. This option will not be extended to students who apply for and voluntarily withdraw their Gilman Scholarship application or study abroad application before scholarship decisions are made. This policy applies only to exchange programs.  Partnership and Faculty-Directed programs require financial commitments to be made prior to the Gilman award notification timeline and therefore do not qualify for the administrative fee refund.
